Visual-Eyes provides a global setting to require users to enter a reason when deleting Provincial Health Care billings. Enabling this setting helps ensure accurate audit trails and standardized documentation across the practice.
Prerequisites:
Access to VE Admin with permissions to change Manager settings.
All users must be able to close and restart Visual-Eyes.
Enabling the Prompt for Deletion Reason
To enable the deletion prompt for all users:
Open VE Admin.
Navigate to Manager.
Select Patient Default.
In the Billing section, check the box beside "Prompt for Deletion Reason."
Click OK to save changes.
Click Publish All.
Click Exit to close VE Admin.
Ensure all users fully close and restart Visual-Eyes for the new setting to take effect.
Note: The prompt will only appear after users have restarted Visual-Eyes.
Expected Outcome
Once this setting is enabled and all users have restarted Visual-Eyes, the system will prompt for a deletion reason every time a Provincial Health Care billing is deleted. The entered reason will be logged for future reference.
Viewing Deletion Reason Audit Records
All deletion reasons are stored in the Z_Event table with EVENTTYPE = 'RECORD DELETED'. Administrators can review these entries for audit purposes.
Common Issues
Issue: The deletion reason prompt does not appear for users.
Fix: Confirm that all users have completely closed and restarted Visual-Eyes after the update has been published.
