Setting up the Otto Catalog

Introduction - Welcome To Otto


In this document, we will go through Online CL Ordering, which is done through Otto. These features have been available since version B11.7.1. We will guide you through the process of setting up suppliers, downloading/importing catalogs, and selling Otto lenses.


Step #1  - Setting Up Otto Suppliers 


To set up Otto suppliers, go to Catalog.exe > Contact Lens > Supplier and click on Online Suppliers.


This will bring up the following modal with all of the applicable suppliers Otto offers. Choose the one(s) you would like to set up. 


This will bring up the following information box. 

1. New - Create a new online supplier in your catalog database

2. Update - Update an existing supplier in your catalog database 

3. Cancel - Leave the screen and do nothing


After selecting whether you would like to update or create a new supplier, it will fill the information for the supplier in the format Otto needs. This will also enable the “Online Selection” button


This button will bring up a modal prompting the user with these options:

1. Download + Import Catalog - Download and import the newest up to date catalog

2. Check Catalog Version - Check if the version of catalog the clinic has downloaded for the selected supplier is outdated.

3. Import From File - Import Catalog from JSON file you have on your PC.


In the modal, notice there is a checkbox to 'Overwrite existing retail pricing.' If this checkbox is ticked, it will allow the Otto catalog import to override the retail pricing that is currently in place for the individual lenses.


Step #2 - Selecting CL(s) in VE for Otto Suppliers


Now that you have set up Otto suppliers and downloaded their respective catalogs, we can now look into selecting contact lenses so that they show up in VE. Contact lens selection allows for CLs that have been added in the catalog to be visible on the CL order screen of the main Visual-Eyes application.


The first step is to go to VE_Admin.exe > Rx/CL > Contact Lens > Supplier and select the Otto supplier(s) you have imported catalogs for. This is done by creating or editing a supplier and selecting the CL Supplier(s) in the dropdown that you created in Step #1. Ensure that the "Supplier Active" checkbox is checked.


Lastly, go to VE_Admin.exe > Rx/CL > Contact Lens > Selection and add the necessary lenses. Select the supplier and what your retail price is based on. Choose the markup for that supplier, or choose a 'no markup' option where retail prices have been entered into the Catalog. Click ADD, ADD SELECTED, or ADD ALL to move lenses to the right side of the screen, where they will be visible in Visual-Eyes.



Step #3 - Sending Orders using Otto

Now the fun part, let’s start “sending” orders to Otto using the supplier we set up

The first step is to go to VE > CL and fill out the parameters of a Contact Lens that matches an Otto suppliers' CL Catalog entry. You can also simply enter the SKU/UPC number of an Otto lens tied to the catalog. Once the order is filled and saved, a new section will appear entitled Otto Status. For this section to appear, at least one Eye (OD or OS) has to be filled out and properly saved.

We can now check if the order is applicable to Otto by clicking the ‘Validate Order’ button.

 If the status is valid, the status will flip to valid, and it will show the date and time when the order was validated. You can send the order by clicking the ‘Send Order’ button

Once an order is sent the status will flip to sent, and it will show the date and time when the order was sent. After the order is sent, you can check the status of the order by clicking “Check Order” 

Once the order is checked, the status will be updated with the current order status, and the date will update to the most recent time the order was checked. 


You can also check the status of all sent Otto orders by clicking the "Online Orders" tab on the top taskbar of the CL Order screen. This will show the statuses as follows. You can check the status of each individual order by checking the box next to the order and clicking the "Check Status" button, or you can check the status of all your orders by clicking "Select/Deselect All," followed by "Check Status."
