How to search for a patient using their email


Visual-Eyes offers two methods to search for patients using their email address. Use the Alternate Search option in Visual-Eyes for quick lookups, or access the Visual Care Admin Portal Communications Full Log for detailed message history and verification.

Prerequisites

  • For Visual-Eyes search: Access to any module in Visual-Eyes.
  • For Visual Care Admin Portal search: Communications permissions granted in Visual Care > Users & Accounts > Manage Admins > Grant Permissions.

Search by Email in Visual-Eyes

  1. Click Find in the top left of the navigation bar, or press F6 or Ctrl+F.
  2. In the Find a Patient screen, click Alternate Search.
  3. Select Email from the drop-down list.
  4. Enter the email address and press Enter or click Search.


Search by Email in Visual Care Admin Portal

If the email search option does not appear in Visual-Eyes, or if you need to verify message history and email addresses used for patient communications, use the Visual Care Admin Portal.

  1. Log in to the Visual Care Admin Portal.
  2. Navigate to Settings > Communications.
  3. Click Full Log.
  4. Enter the date range and patient name.
  5. Review the results to see all messages sent to that patient and the email address used.




Note: If you do not have Communications permissions in the Visual Care Admin Portal, contact your manager or owner to grant access via Visual Care > Users & Accounts > Manage Admins > Grant Permissions. If no one in your practice has the proper clearance, contact Visual-Eyes Support.

Common Issues

Issue: Email option does not appear in Alternate Search drop-down. Fix: Use the Visual Care Admin Portal Communications Full Log method instead.

Issue: Cannot access Visual Care Admin Portal Settings. Fix: Verify that Communications permissions have been granted. Contact your manager, owner, or Visual-Eyes Support for assistance.


Tip: The Communications Full Log in Visual Care Admin Portal provides a complete audit trail of all patient communications, including email addresses, message content, and delivery timestamps. Use this method when you need verification or historical tracking beyond a simple patient lookup.
